Job Summary

 

The Administrative Support position provides critical administrative and clerical support to a dedicated Workers' Compensation claims team. This role helps ensure claim documentation is processed accurately, correspondence is routed promptly, and claim professionals have the information they need to deliver exceptional service to injured workers, employers, and clients.

 

This is a fully onsite position based in our Dallas office and is ideal for someone who thrives in a fast-paced environment, enjoys staying organized, and takes pride in providing outstanding support to a team. The successful candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple priorities while maintaining accuracy and professionalism.

 

Responsibilities

  • Perform accurate and timely data entry involving medical and claims‑related information, ensuring a high level of attention to detail and quality standards
  • Enter, review, and update medical terminology, anatomy references, and claim documentation within internal systems
  • Apply working knowledge of ICD‑10 and CPT coding when indexing, organizing, or updating claim and medical records
  • Maintain current awareness of commonly used medical terminology and coding practices relevant to liability claims support
  • Sort, review, and distribute daily inbound and outbound mail, medical records, and correspondence to appropriate claims adjusters and nursing staff
  • Scan, upload, and index documents into electronic claim files in accordance with established procedures and deadlines
  • Support front‑office and administrative operations, including providing backup assistance for reception and phone coverage when needed
  • Operate standard office equipment such as copiers, scanners, fax machines, mail processing equipment, printers, and multi‑line phone systems
  • Communicate clearly and professionally with internal team members to ensure accurate routing of information and timely task completion
  • Maintain confidentiality and discretion when handling sensitive claim and medical information
  • Organize and prioritize administrative tasks to meet daily workflow demands and service expectations
  • Work collaboratively with claims team members in a fast‑paced, on‑site office environment

Qualifications

Requirements

  • High school diploma or equivalent required
  • Must be able to commute to the Dallas, Texas branch office everyday.
  • Ability to perform accurate data entry with strong attention to detail
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
  • Ability to operate standard office equipment, including copiers, scanners, fax machines, mail equipment, and multi‑line phone systems
  • Strong verbal and written communication skills
  • Ability to multitask, prioritize work, and meet deadlines in a structured office environment
  • Self‑starter with strong organizational skills and the ability to work with minimal supervision
  • Demonstrated discretion and ability to maintain confidentiality
  • Reliable, predictable attendance during assigned on‑site work hours
  • Ability to work collaboratively as part of a team in a rapidly changing environment

Nice to Have: 

  • Bilingual (Spanish) proficiency — highly valued for communicating with claimants, employers, or vendors, but not required.
  • Prior experience in an administrative or clerical support role, preferably within insurance, claims, or a professional office setting
  • Working knowledge of medical and/or insurance‑related terminology preferred

Compensation & Compliance

 

The posted salary reflects CCMSI’s good-faith estimate in accordance with applicable pay transparency laws. Actual compensation will be based on qualifications, experience, geographic location, and internal equity. This role may also qualify for bonuses or additional forms of pay.

CCMSI offers comprehensive benefits including medical, dental, vision, life, and disability insurance. Paid time off accrues throughout the year in accordance with company policy, with paid holidays and eligibility for retirement programs in accordance with plan documents.
